Foster Families - Job Description - 2024

PURPOSE OF THE FOSTER FAMILY:

  • Provides a temporary home to a Golden Retriever and cares for it while the dog waits for a permanent placement

WHAT DOES A FOSTER FAMILY VOLUNTEER DO?

  • Receives inquiries from Placement Team asking if the foster is willing to accept a dog into their home; all available information about the animal is provided including reason for fostering
  • Accepts or declines the request to foster based on their circumstances at the time
  • If accepting, collaborates with Transport Team to arrange date/time for receiving the dog
  • Is contacted by Vet Care Liaison to discuss dog’s medical needs and schedule vet visit
  • Provides dog with food, exercise (as appropriate), and an abundance of love and attention
  • Provides feedback to Vet Care and Placement teams regarding the dogs needs, behaviors, and environmental factors to which the dog reacts

WHAT KIND OF TRAINING IS PROVIDED?

  • An experienced volunteer will visit you to tour your home and approve it for foster placements.
  • This volunteer will discuss fostering responsibilities in detail, and furnish you with written material regarding medical and behavioral issues you might expect with a foster dog
  • You will have frequent follow-up discussions with your assigned vet care liaison or other RAGofAZ “specialists” to ensure you receive all the guidance and direction you need.
  • You may be given expert training and advice from behavioral experts hired by RAGofAZ to work with you and your foster dog.
  • NOTE: While the foster family purchases dog food and any extras such as toys, RAGofAZ pays for all vet/behavioral care authorized by your vet care liaison, which must be provided by a RAGofAZ veterinarian partner.

WHAT SKILLS DOES A FOSTER VOLUNTEER NEED?

  • Positive attitude: bring an open mind and a non-judgmental point of view to ensure you are accepting and understanding of a dog that may be frightened or stressed
  • Prior experience with dogs: Not required but always helpful

Membership: As with all RAGofAZ volunteers, fosters must be or become members

Intake Team Volunteer - Job Description - 2024

PURPOSE OF THE INTAKE TEAM:

  • To respond to inquiries about surrendering a dog received via the Woofline, email, website, or social media
  • To gather information from the individual turning in the Golden about the dog’s behavior, needs, and lifestyle
  • To ascertain as best as possible that the dog is a purebred Golden, with credentials or not, and has no aggression issues

WHAT DOES AN INTAKE TEAM VOLUNTEER DO?

  • Accepts a one week assignment every six-eight weeks during which the volunteer regularly checks the Woofline for messages and responds to them promptly
  • Conducts a telephone interview using a detailed structured questionnaire
  • Explains surrender process and requests photos if the dog is to be accepted into rescue; assigns ID number.
  • Offers other resources if the dog is a mix or has a history of biting or aggression
  • Communicates with other teams via email or phone, makes appropriate entries into Trackabeast system, and prepares a weekly summary.

WHAT KIND OF TRAINING IS PROVIDED?

  • New volunteers receive an Intake Team Manual and individual training from the Team Coordinator
  • The surrender process and intake questionnaire will be covered in detail
  • Volunteer receives instruction on computer entries, completion of forms, and report preparation
  • The volunteer will have continuation training and ongoing supervision as he/she begins to handle calls

WHAT SKILLS DOES AN INTAKE TEAM VOLUNTEER NEED?

  • Strong oral communications and listening skills since most intake work is done over the phone
  • An empathetic and non-judgmental approach towards people who are turning in their dogs for any reason
  • Basic computer skills including email and Word or Word compatible software
  • Perfect opportunity for a volunteer who wants to perform the entirety of the job from home

Home Visit Volunteer - Job Description - 2024

PURPOSE OF THE HOME VISIT TEAM:

  • To thoroughly evaluate adoption applicants to determine if they can provide an appropriate home for our rescued dogs

WHAT DOES A HOME VISIT VOLUNTEER DO?

  • Receives assignment, contacts applicant, schedules in-person home visit if applicant has resident dog(s) or virtual visit (Zoom, Facetime, etc.) if there are no dogs
  • For in-person visits, Volunteer takes his/her Golden and proceeds with approved dog introduction process prior to interview; then conducts structured interview and tours the home and property
  • Completes and submits a Home Visit Report using form provided

WHAT KIND OF TRAINING IS PROVIDED?

  • Very comprehensive! You will receive a Home Visit Manual including detailed descriptions of both in-person and virtual home visits, instructions for simple computer entries and how to prepare a brief report
  • On the job training through “ride-along” sessions with experienced team members
  • Easy and always-available access to Coordinator and Director as you learn the job

WHAT SKILLS DOES A HOME VISIT VOLUNTEER NEED?

  • Positive attitude and a willingness to learn
  • Ability to converse comfortably with applicants and follow our Home Visit protocols
  • Competency with using email and Word – we’ll train you on everything else
  • Driving for in-person visits

Transport Team Volunteer - Job Description - 2024

PURPOSE OF THE TRANSPORT TEAM:

  • To move a dog or dogs safely from point A to point B in a timely manner

WHAT DOES A TRANSPORT TEAM VOLUNTEER DO?

  • Takes possession of the dog being surrendered, obtains any vet records, medications or other appropriate items, and secures a signature on required forms
  • Delivers the dog to the home of its adopter/foster or boarding facility and provides basic information regarding vet care and appropriate RAGofAZ contacts
  • Obtains signature on adoption contract or foster agreement, and collects adoption fee and membership dues as appropriate
  • Prepares and submits a report on the transport

WHAT KIND OF TRAINING IS PROVIDED?

  • A new volunteer will receive written transport instructions and one on one training including computer entries and how to complete forms
  • Volunteers will accompany experienced team members in “ride-alongs” to observe all aspects of the transport experience

WHAT SKILLS DOES A TRANSPORT TEAM VOLUNTEER NEED?

  • Is comfortable driving alone with a properly tethered dog in the vehicle and the ability to follow directions to an unfamiliar address
  • Can demonstrate sensitivity when picking up a dog from an OTI (Owner Turn-In), Good Samaritan, breeder, or other emotional surrender situation.
  • Organizational skills: responds to email transport requests, respects timeliness, is observant, pays attention to detail, can prepare simple computerized reports

WHERE DO WE MOST URGENTLY NEED TRANSPORT TEAM VOLUNTEERS?

South Chandler/Maricopa or Casa Grande area, usually to meet up with volunteers who are transporting dogs from the Tucson area to points north

Vet Care Team Volunteer - Job Description - 2024

 PURPOSE OF THE VET CARE TEAM:

  • To arrange for veterinarian care for every Golden Retriever from the time it enters the rescue process, is adopted, and any follow-up care identified in a medical addendum is completed.

WHAT DOES A VET CARE LIAISON DO?

  • Serves as the official RAGofAZ point of contact for the vet care hospital or facilty assigned to her by the Vet Team Manager
  • Contacts fosters and FWITA to arrange a mutually agreeable vet appointment
  • Provides details to vet regarding what screenings/treatment is requested
  • Whenever possible attends first vet appointment with foster/FWITA
  • Obtains invoices and arranges payment to vet in accordance with instructions provided by Vet Team Manager
  • Enters notes into Trackabeast regarding all aspects of vet care and dog’s behavior; uploads reports and invoices into FILES
  • Follows up with FWITA to ensure dog is adjusting and confirms when the FWITA is ready to finalize the adoption; notifies Vet Team Manager of any behavioral dog issues or concerns raised by FWITA that need to be addressed
  • Issues a medical release, with or without an addendum, and follows up as needed to ensure medical procedures in addendum are completed

WHAT KIND OF TRAINING IS PROVIDED?

  • Very comprehensive: both one-on-one initial training and continuation training will be provided by the Vet Team Manager
  • New volunteer receives detailed Vet Team Manual, Trackabeast instructions, and a list of all vet partners
  • Vet care updates and new information is provided by Vet Team Manager weekly

WHAT SKILLS DOES A VET CARE LIAISON NEED?

  • Solid oral communications and listening skills to ensure medical information is received, communicated, and recorded accurately

Placement Team Volunteer - Job Description - 2024

PURPOSE OF THE PLACEMENT TEAM:

  • To research the organization’s list of approved families waiting for dogs and find the best placement for a dog based on the dog’s and family’s needs.

WHAT DOES A PLACEMENT TEAM VOLUNTEER DO?

  • Receives notifications from the Intake Team that a Golden Retriever is coming into rescue and will need a foster or FWITA placement (Foster With Intent To Adopt).
  • Using the Trackabeast database, researches list of potential adopters using filters to identify possible matches for family and dog.
  • Calls approved families to discuss known characteristics and needs of a particular dog, and ascertains if a family is willing to accept the placement.
  • Using approved email system, notifies other teams when a placement is found.
  • Communicates with other teams as needed via email or phone, makes appropriate entries into Trackabeast system, and prepares a weekly summary.

WHAT KIND OF TRAINING IS PROVIDED?

  • New volunteers receive a Placement Team Manual and individual training from the Team Coordinator and experienced team members.
  • Volunteer receives instruction on adoption requirements, issues to be covered in phone calls to potential adopters, computer entries, completion of forms, and report preparation.
  • The volunteer will have continuation training and ongoing supervision as he/she begins to handle Placement.

WHAT SKILLS DOES A PLACEMENT TEAM VOLUNTEER NEED?

  • Strong oral communications and listening skills since placement work is done largely over the phone, though email and texts are often used as well.
  • An enthusiastic but understanding and forthright approach when contacting potential candidates for adoption.
  • Basic computer skills including email and Word and a willingness to learn our data entry process.
  • Perfect opportunity for a volunteer who wants to perform the entirety of the job from home.

Information Technology (IT) Assistant - Job Description - 2024

PURPOSE OF THE IT ASSISTANT:

  • To support many if not all aspects of the organization’s technology needs

WHAT DOES THE IT ASSISTANT DO?

  • Maintains, updates, and/or serves as administrator for the following: Trackabeast data system, Zeffy, Google Work Space, PayPal, DocuSign, etc. all while working from home with a computer and phone
  • Supports Webmaster as needed in maintaining website and mass email system
  • Collaborates with Board of Directors periodically to ensure technology requirements are being met
  • Expect periods of being busy that may be followed by periods of low activity

WHAT KIND OF TRAINING IS PROVIDED?

  • One-on-one initial and continuation training will be provided by our President, Vice President, Webmaster, and other volunteers who possess specific technology skills
  • Ongoing support as you learn on the job via meetings, Zoom and phone
  • Reports directly to the Vice President and will have continual access to those with tech expertise

WHAT SKILLS DOES AN IT ASSISTANT NEED?

  • Knowledgable in basic hardware/software technolgy, website management, commonly used applications – bonus points if you are a quick study!
  • A positive, intuitive, “trouble-shooting” approach to technology issues
  • Stays current on relevant developments in tech issues such as AI, software enhancements, etc.

Volunteer Coordinator - Job Description - 2024

 PURPOSE OF THE VOLUNTEER COORDINATOR:

  • To ensure that inquiries about volunteering and online volunteer applications are promptly referred to the appropriate director or coordinator for response or action

WHAT DOES A VOLUNTEER COORDINATOR DO?

  • Receives online volunteer applications and refers them to the appropriate director or coordinator for action
  • Refers volunteering inquiries received via email or the Woof Line to the appropriate director or coordinator for response
  • Maintains electronic volunteer records in Trackabeast and periodically updates available volunteer positions on the website
  • Responds to coordinator/director requests to email confidentiality agreement to volunteer and follows up for receipt of signed document (using DocuSign)
  • Uploads confidentiality agreement into volunteer’s TB profile under FILES

WHAT KIND OF TRAINING IS PROVIDED TO A NEW COORDINATOR?

  • One-on-one training is provided included all tracking and technology requirements

Woof Line Team Volunteer - Job Description - 2024

 PURPOSE OF THE WOOF LINE TEAM:

  • To check messages received on the Woof Line and either respond to the caller personally or direct the inquiry to the appropriate team member for handling.

WHAT DOES A WOOF LINE VOLUNTEER DO?

  • Volunteer is assigned to take a week’s rotation, Monday through Sunday, usually about once a month.
  • On-duty volunteer dials in every few hours using a special code to pick up messages.
  • Returns the call if the question is general and within the range of knowledge of the Woof Line Volunteer; for example, may inform a caller who wants to know how to adopt a dog to complete the online application on our website.
  • Volunteer may direct inquiries via phone call or email to the contact who handles the type of issue raised by the Woof Line caller; for example, relinquishing a dog, vet care questions, volunteering, donations, reporting a stray dog, etc.

WHAT KIND OF TRAINING IS PROVIDED?

  • Very comprehensive: both one-on-one initial training and continuation training will be provided by the Woof Line Coordinator.
  • New volunteer receives detailed training manual and contact list of Directors and Coordinators for all aspects of organizational functions.

WHAT SKILLS DOES A WOOF LINE VOLUNTEER NEED?

Contract Manager - Job Description - 2024

 PURPOSE OF THE CONTRACT MANAGER:

  • To finalize an adoption by emailing a final adoption letter to the new adopter and entering appropriate notifications in the Trackabeast system.

WHAT DOES THE CONTRACT MANAGER DO?

  • Receives email notifications from the Vet Care Team that a rescued dog has been medically released (with or without an addendum) and that the family is ready to complete the adoption process.
  • Using a “form letter” email, customizes the message and sends to new adopter.
  • Enters a note in Trackabeast to confirm that the adoption email has been sent, uploads the letter into the FILES field, and changes status to “Adopted.”
  • Notifies Director, Team Manager, Microchip Manager, and Webmaster that the adoption has been finalized using a brief formatted email.

WHAT KIND OF TRAINING IS PROVIDED?

  • One-on-one initial training will be provided by the current Contract Manager
  • Simple step by step instructions will be furnished for completing the notification process and entering information into Trackabeast.
  • Ongoing access to Vet Team Manager and Director of Golden Operations for any questions that arise

WHAT SKILLS DOES A CONTRACT MANAGER NEED?

  • Diligence, attention to detail and timeliness, basic computer skills
  • This is an easy-to-learn position that requires nothing more than a computer

Donor Relations Coordinator - Job Description - 2024

PURPOSE OF THE DONOR RELATIONS COORDINATOR (DRC):

  • Ensures that every donation received by RAGofAZ is properly acknowledged and entered into the donations data tracking system.

WHAT DOES THE DONOR RELATIONS COORDINATOR DO?

  • Receives online notifications via email from RAGofAZ payment processor Zeffy whenver a donation is made from RAG website.
  • NOTE: Online donors are provided with an automated acknowledgment after they complete the donation process, which includes required IRS disclaimer language.
  • The DRC will periodically revise the verbiage in the auto-acknowledgment to ensure it remains relevant to changing circumstances; i.e. Giving Tuesday, fundraising for special events, holiday campaign, etc.
  • Several times a month via email, the DRC receives deposit spreadsheets listing checks from donors that require an acknowledgment (by email or letter).
  • The DRC enters all donations (received online, by check, credit card, or cash) into Trackabeast using easy-to-follow instructions.
  • On occasion, DRC will give “special treatment” when acknowledging donations made in memory of a person or pet, including notifying the family of the person or pet being honored.

WHAT KIND OF TRAINING IS PROVIDED?

  • Initial training and ongoing mentoring will be available from the current DRC.
  • Form letters will be provided that address a variety of donation situations, i.e. in memory of a person or pet, donations made as holiday gifts, etc.

Bridge Card - Job Description - 2024

PURPOSE OF THE BRIDGE CARD VOLUNTEER POSITION:

  • Ensures to the greatest degree possible than any RAGofAZ member or supporter whose dog passes away receives a personalized sympathy card

 WHAT DOES A BRIDGE CARD VOLUNTEER DO?

  • Receives notifications from a variety of sources that a dog belonging to a RAGofAZ member or supporter has died
  • Using customized sympathy cards provided by RAGofAZ, writes a personalized message of sympathy and mails the card to the dog owner
  • Enters a note in the comments block of the Trackabeast data system that the dog has passed away and that a “bridge card” has been sent

WHAT KIND OF TRAINING IS PROVIDED?

  • Initial training and ongoing mentoring will be available from the current Bridge Card volunteer or the Secretary of the Board of Directors.
  • Sample bridge card messages are provided until the volunteer feels comfortable working on his/her own
  • Cards, envelopes, and stamps are paid for by RAGofAZ

WHAT SKILLS DOES A BRIDGE CARD VOLUNTEER NEED?

  • Self starter, diligent, pays attention to detail and timeliness
  • Ability to write sensitive and appropriate messages of condolence
  • This is a “work from home” volunteer job that requires nothing more than a pen and a computer, and involves only a brief and sporadic time commitment

Grant Writer - Job Description - 2024

PURPOSE OF THE GRANT WRITER POSITION:

  • Has overall responsibility for preparing, submitting, and tracking grant applications, and ensuring that grantors receive appropriate acknowledgement

 WHAT DOES THE GRANT WRITER DO?

  • Researches grant applications for reimbursement of eligible veterinarian expenses, gathering reports and invoices from Trackabeast and Vet Care Liaisons
  • Submits online grant applications and uploads supporting documents
  • Follows up on status of applications and provides information to funders as needed
  • Prepares and sends thank you letters to grantors
  • Enters grants received into Trackabeast data system

WHAT KIND OF TRAINING IS PROVIDED?

  • Initial training and ongoing mentoring will be available from the current Grant Writer as new volunteer learns how to research using Trackabeast
  • Sample grant applications will be provided and new applications will be reviewed before they are submitted until volunteer is fully trained
  • Simple step by step instructions will be furnished for entering grants into the Trackabeast system

WHAT SKILLS DOES A GRANT WRITER NEED?

  • Strong written communications skills and ability to research grants independently
  • Self starter, diligence, attention to detail and timeliness, proficiency in document management, email, and entering simple online applications

Mail & Check Process - Job Description - 2024

PURPOSE OF THE MAIL AND CHECK PROCESSING POSITION:

  • Picks up and processes all mail and checks sent to the RAGofAZ mailbox located in Phoenix

 WHAT DOES A MAIL/CHECK PROCESSOR DO?

  • Approximately three to four times a month, drives to the post office where RAGofAZ mailbox is located (near Cave Creek Road and Loop 101 in Phoenix) and picks up all correspondence
  • Reads all correspondence and directs it to the appropriate board member or coordinator for handling, usually by scanning and emailing the letter or document
  • Lists all checks received on a simple pre-formatted spreadsheet that captures the date, name, check number, amount, and category of payment (adoption, donation, membership, calendar purchase, etc.)
  • Emails spreadsheet (referred to as “deposit spreadsheet”) to board of directors and anyone else who has a need to know such as Donor Relations or Membership Coordinators.
  • Prepares bank deposit form and deposits checks in RAGofAZ bank (currently MidFirst Bank

WHAT KIND OF TRAINING IS PROVIDED?

  • Initial training and ongoing mentoring will be available from the current Mail and Check Processing volunteers.
  • Sample deposit spreadsheets are provided so listing checks is very much like a “fill in the blanks” exercise

WHAT SKILLS DOES A MAIL/CHECK PROCESSING VOLUNTEER NEED?

  • Self starter, diligent, pays attention to detail and timeliness
  • Proficient in basic document management, email, and spreadsheets (for listing items only, does not need to use calculations other than “auto-sum”)
  • This is a “work from home” volunteer job that requires nothing more than a computer

Membership Coordinator - Job Description - 2024

PURPOSE OF THE MEMBERSHIP COORDINATOR POSITION:

  • Has overall responsibility for processing membership applications and renewals, entering them into the Trackabeast system (TB) and sending renewal packets and thank you notes

 WHAT DOES THE MEMBERSHIP COORDINATOR DO?

  • Using TB system, runs monthly reports to identify individuals whose annual membership is expiring
  • Prepares and mails membership renewal packets and follows up for payments
  • Processes renewals received online or via check/cash/credit card, enters data into TB system, and sends thank you notes to members
  • Receives and/or processes new memberships in collaboration with other volunteers; enters new member profiles when needed

WHAT KIND OF TRAINING IS PROVIDED?

  • Training, mentoring, and close supervision will be provided to new Membership Coordinator by experienced members familiar with this process.
  • Membership forms, email templates, and tracking sheets will be provided so new volunteer is working with existing documents.
  • Expertise and guidance from the Vice President and former Membership Coordinators will always be available.
  • Use of RAG-specific systems such as Trackabeast and Zeffy will be taught using step by step instructions.

WHAT SKILLS DOES A MEMBERSHIP COORDINATOR NEED?

Webmaster - Job Description - 2024

PURPOSE OF THE WEBMASTER POSITION:

  • Has overall responsibility for the maintenance of the website for Rescue A Golden of Arizona (RAGofAZ), regular updating of content, and preparation of mass emails to members and supporters.

 WHAT DOES THE WEBMASTER DO?

  • Consults with a web developer to set up and configure the WordPress site.
  • Manages themes and plugins, and updates them as needed.
  • Troubleshoots conflicts and errors, working with web host and/or web developer if necessary.
  • Creates and publishes content (posts, pages, media).
  • Designs and creates email content and templates.
  • Schedules when emails will be sent.
  • Manages regular website and database backups.
  • Ensure backups can be restored if needed.
  • Uses cPanel to manage files, and other website and server tasks as needed.

WHAT KIND OF TRAINING IS PROVIDED?

  • Training, mentoring, and close supervision will be provided to new volunteer by the current Webmaster.
  • Manuals and written instructions will be provided.
  • Contact lists will be provided for colleagues and experts within RAGofAZ as well as for outside vendors and website support personnel.
  • Expertise and guidance from the current Webmaster will always be available with backup from other experienced members.

  • Self starter with solid computer skills; experience in website technology helpful

Event Coordinator - Job Description - 2024

PURPOSE OF THE EVENT COORDINATOR POSITION:

  • Has overall responsibility for planning and executing RAGofAZ events in collaboration with the Director of Events (DE)

 WHAT DOES THE EVENT COORDINATOR DO?

  • Collaborates with DE to plan and deliver RAGofAZ events and celebrations for members and supporters
  • In consultation with DE, identifies community events in which RAGofAZ will participate such as adopt-a-thons, home shows, festivals, parades, etc.
  • Solicits members to serve on planning committees as needed, or simply to assist on event day
  • Creates or follows an established event plan, timeline, or task list and assigns duties accordingly with prudent followup
  • Sends communications via eblast and social media to invite people to attend, keeps a guest list, and communicates with event planners if it is a community event
  • Ensures that all supplies are distributed and available on event day with set-up and break-down teams ready to go; oversees execution of event throughout the day
  • Cares for or assigns post-event tasks such as thank you notes, reports, etc.

WHAT KIND OF TRAINING IS PROVIDED?

  • Training, mentoring, and on-site supervision will be provided to new Event Coordinator by DE and experienced members familiar with events
  • Planning documents from previous events will be provided if available and can be replicated for new programs
  • Expertise and guidance from the DE will always be available as needed

WHAT SKILLS DOES AN EVENT COORDINATOR NEED?

Merchandise Manager - Job Description - 2024

PURPOSE OF THE MERCHANDISE MANAGER POSITION:

  • Has overall responsibility for ordering RAGofAZ merchandise, tracking and maintaining inventory, and fulfilling orders

 WHAT DOES THE MERCHANDISE MANAGER DO?

  • In consultation with the Board of Directors, selects vendors and orders merchandise for sale to members via our website
  • Collaborates with Webmaster to identify appropriate online sales venues
  • Processes and fulfills online orders for merchandise as well as occasional on-site sales at events
  • Tracks and refreshes inventory as needed

WHAT KIND OF TRAINING IS PROVIDED?

  • One on one initial training and ongoing mentoring will be provided by current Merchandise Manager

WHAT SKILLS DOES A MERCHANDISE MANAGER NEED?

  • Self starter with solid organizational skills, attention to detail and timeliness
  • Comfortable with processing online orders, email, and tracking documents
  • A “work at home” job that does not require a large time commitment
